This policy explains how Polly Benge Pilates collects and uses personal information when you visit this website, make an enquiry, book or pay for a session, or attend a class.

Important: This notice describes the website and booking arrangements currently in use. It should be reviewed whenever Polly introduces a new form, mailing list, analytics service or payment provider.

Who is responsible for your information?

Information we may collect

  • Your name, email address, telephone number and contact preferences.
  • Booking, attendance, package and payment-status information.
  • Messages and enquiries you send to Polly.
  • Information you choose to provide about movement, injuries, pain, health or accessibility needs so a session can be adapted appropriately.
  • Technical information generated when you use the website or booking service, such as IP address, device, browser, pages visited and security logs.

How we use information

We use personal information to respond to enquiries, arrange and deliver classes, administer packages and payments, send service messages, maintain appropriate business and accounting records, protect the website and improve our services.

Our usual lawful bases are performing a contract or taking steps at your request, complying with legal obligations, and our legitimate interests in running a safe and effective Pilates business. Optional cookies and similar technologies are used only with consent.

Health information

Information about health, pain or injuries may be special category data. Where you choose to provide this information, Polly uses it only to understand your needs and adapt teaching safely. We will ask for explicit consent where required, and you may withdraw that consent by contacting Polly. Withdrawal does not affect earlier lawful use and may limit our ability to provide an appropriately adapted session.

Bookings and payments

Online bookings are provided by Acuity Scheduling, a Squarespace service. When you use Acuity, the information you enter is sent directly to that service. Acuity and any connected payment processor process information under their own privacy terms. Polly receives the booking and payment-status information needed to provide the service, but does not receive your full card number.

Who we share information with

Information may be shared only where needed with:

  • WordPress.com and Automattic, which host and protect this website.
  • Acuity Scheduling/Squarespace and the payment provider connected to Acuity.
  • Email, IT, accounting and professional advisers supporting the business.
  • Regulators, courts or law-enforcement bodies where disclosure is legally required.

Some providers may process information outside the UK. Where data-protection law requires it, the provider or Polly will rely on an approved transfer safeguard.

How long we keep information

We keep information only for as long as it is reasonably needed for the purpose collected. Booking, payment and accounting records may be retained for up to six years where required for tax, legal or record-keeping purposes. Enquiries and session information are reviewed periodically and deleted or anonymised when no longer needed.

Security

We use reasonable organisational and technical safeguards and choose established service providers. No internet service can guarantee complete security, so please avoid sending unnecessary sensitive information by ordinary email.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct or erase your information; restrict or object to its use; receive certain information in a portable format; and withdraw consent.
